Finding the right letter (Letters)
In Claimsfy Letters and Claimsfy Desk, every claim letter is in the Letter menu at the top of the Letters tab, grouped by purpose: coverage decision, acknowledgment and contact, requests for information, status and timing, coverage position, payments, representation and disputes, recovery and closing (plus vehicle, third-party and workers' comp letters on those claims).
- A letter isn't in the menu? The menu shows only the letters for the claim's line of business. A recoverable depreciation letter is on property claims; rental and storage letters are on auto claims; wage statement and return-to-work letters are on workers' comp claims.
- Recommended marks the letter that matches the coverage position on Policy & Coverage. ✓ marks letters already written, and On this claim switches between them.
- A new adjuster took over? Claim reassignment (new adjuster), under Acknowledgment and contact, tells the insured or claimant who their new adjuster is, how to reach them and where the claim stands.
- Who it's written to: each letter has its usual recipient (the insured, the claimant, the employer, the mortgage company, the responsible party, the representative or the Department of Insurance). Set the name and address under Who it goes to.
- Your own wording: every letter has a default template. Edit it, or Upload your template…; it's saved for all claims. Restore default brings back Claimsfy's.
- The letter review checks each letter against the rules for that kind of letter. Review as lists every letter: pick a different one if your letter is a different kind, and the note under it says which rules it's checked against. To check a letter written elsewhere, choose Paste or upload a letter, then paste it or use 📎 Upload a letter… (Word, PDF or text).
- Formatting: the bar over the letter sets the font, size, bold, italic, underline, strikethrough, text color, highlight, alignment, lists, indent and line spacing. Select the words first, or pick a setting and start typing. Clear formatting takes it off. It's saved with the letter and goes into the PDF, Word file and Copy. A font that isn't on a computer shows in a similar one, and PDFs use the closest standard PDF font (Times, Helvetica or Courier).
- Highlighter: click ab on the bar, then drag over the words to highlight them. It stays on until you click it again or press Esc. Or select the words first, then click it. ▾ next to it picks the color (yellow, green, blue, pink or orange), and No highlight takes the highlight off the words you drag over. On a phone or tablet, drag sideways across the words; up and down still scrolls.
- Freeze: 📌 Freeze at the end of the bar (just 📌 when the box is narrow) keeps the bar on screen while you scroll a long letter or report, so you can format text halfway down without scrolling back up. Click it again (📌 Frozen) and the bar scrolls with the page. One setting for every formatting bar, remembered on that computer.
- 🔊 Read aloud, above the letter, reads it back a sentence at a time. Pause, go back or forward a sentence, stop, or change the voice and speed. Language reads it in another language (Spanish, Haitian Creole, Vietnamese, Chinese and more): Claimsfy AI translates it for listening only, the letter isn't changed, and Show the translation shows the text. No voice for that language? Add one in your computer's speech or language settings.
- Where things are: the tab goes in three steps (choose the letter, write and check it, approve and send). The template and your signature block are under Template and signature at the bottom.
