Drafting letters (Desk)
The Letters tab is the same as in Claimsfy Letters. It works in three steps: 1 Choose the letter (the letter and who it goes to), 2 Write and check it (the letter beside its letter review), and 3 Approve and send. Your template and signature block fold away under Template and signature at the bottom.
Pick the letter from the Letter menu. It holds every claim letter, grouped by purpose, and shows only the letters for the claim's line of business (property, auto, liability or workers' compensation). The coverage position's letter is marked recommended, letters already written show β, and On this claim lists them for one-click switching.
- Coverage decision: settlement (repair settlement for auto, settlement offer for liability, acceptance for workers' comp), partial denial, denial, and the auto total loss offer.
- Acknowledgment and contact: acknowledgment of claim, inspection appointment confirmation, no contact (unable to reach you), letter of representation acknowledgment (attorney or public adjuster), assignment of benefits acknowledgment, mortgagee or lienholder notice, claimant acknowledgment, claim reassignment (new adjuster).
- Requests for information: request for information, second request, final request before the claim is closed, sworn proof of loss request, recorded statement request, examination under oath, re-inspection request, medical records authorization, wage statement request, independent medical examination notice.
- Status and timing: status / delay, notice that more time is needed, estimate enclosed, below the deductible.
- Coverage position: reservation of rights, withdrawal of reservation of rights, coverage acceptance, reconsideration decision.
- Payments: payment enclosed, advance payment, recoverable depreciation release, supplement approved, supplement not approved, additional living expenses, ordinance or law coverage, contents settlement.
- Representation and disputes: appraisal demand response, mediation program notice, response to notice of intent to litigate, response to a Department of Insurance complaint, suit papers received.
- Vehicle (auto): rental and loss of use, storage charges notice, salvage and title, diminished value response.
- Third-party claims (auto and liability): liability decision, excess exposure notice, release enclosed.
- Workers' compensation: employer notice of claim, return to work / light duty, change or end of benefits.
- Recovery: subrogation notice to the insured, subrogation demand, deductible reimbursement.
- Closing: claim closed without payment, claim closed after payment, claim withdrawal confirmation, claim reopened.
Each letter is written to the right person (the insured, the claimant, the employer, the mortgage company, the responsible party, the representative or the Department of Insurance) and is checked by the letter review against the rules for that kind of letter.
- Write letter drafts it with Claimsfy AI from your template and the claim file:
- the notice of loss, the policy language and the coverage decision on Policy & Coverage;
- the estimate figures, the inspection and the notes.
It quotes policy wording only from the policy on file. Anything it can't confirm comes back as [ADJUSTER TO CONFIRM: β¦], which the letter review flags until it's filled in.
- Fill fields only puts the claim's names, numbers and dates into the template without AI.
- Revise changes a finished letter in your own words, for example "make the tone warmer" or "add that the check was mailed today".
- Formatting: the bar over the letter sets the font, size, bold, italic, underline, strikethrough, text color, highlight, alignment, bulleted and numbered lists, indent and line spacing; Clear formatting takes it off. Letters start in Times New Roman. The formatting is saved with the letter and goes into the PDF, the Word file and Copy. The font menu uses fonts already on your computer; PDFs use the closest standard PDF font (Times, Helvetica or Courier), so nothing is embedded.
- Highlighter: click ab on the bar, then drag over the words to highlight them. It stays on until you click it again or press Esc. Or select the words first, then click it. βΎ next to it picks the color (yellow, green, blue, pink or orange), and No highlight takes the highlight off the words you drag over. On a phone or tablet, drag sideways across the words; up and down still scrolls.
- Freeze: π Freeze at the end of the bar (just π when the box is narrow) keeps the bar on screen while you scroll a long letter or report, so you can format text halfway down without scrolling back up. Click it again (π Frozen) and the bar scrolls with the page. One setting for every formatting bar, remembered on that computer.
- π Read aloud reads the letter back to you a sentence at a time, with pause, previous and next sentence, stop, voice and speed, and shows the sentence being read. Language reads it in Spanish, Haitian Creole, French, Portuguese, Vietnamese, Chinese (Mandarin), Korean, Tagalog, Arabic, Russian, Polish, German, Italian, Hindi or Japanese: Claimsfy AI translates the letter for listening only (the letter itself isn't changed, and Show the translation lets you read it), and a voice for that language reads it. Voices come from the computer; if a language has no voice installed, add one in the computer's speech or language settings. Have a qualified translator check any translated letter you send.
- Review as in the letter review lists every letter, grouped like the Letter menu, and shows which rules it's checked against. Use it when the letter you wrote, pasted or uploaded is a different kind. Paste or upload a letter reviews a letter written elsewhere; π Upload a letterβ¦ takes a Word, PDF or text file.
- Templates: every letter type has a default template with {{fields}} and [instructions]. Edit it, or upload your own Word, PDF or text template; it's saved for all claims.
- Your signature block is saved once. Who it goes to sets the date, recipient and cc.
- Export as PDF, Word or text. Letters that quote policy language go to a supervisor for approval before they're sent, and can be mailed through the print-and-mail service, emailed as a secure link, or logged as mailed by hand.
- Waiting for approval: while a letter waits for a supervisor's approval, the letter and its formatting bar are locked. Withdraw to edit unlocks them.
