Letter review: checking a letter against state rules

Claimsfy DeskClaimsfy Letters

On the Letters tab, ⚖ Letter review checks the letter against the rules of the state where the loss is and the basics every claim letter needs.

  • Wrong state? It comes from the loss address on the Notice of Loss. Fix the address, or pick the state in the review.
  • "Enter the date you received the proof of loss" means that state's decision clock starts at the proof of loss (or when you have everything you asked for). Enter that date in the review to check the deadline.
  • A required notice still shows after Insert: some notices need a detail from you, such as the Department's mailing address where it shows [ADJUSTER TO CONFIRM …]. Fill it in and the check clears. Word-for-word notices must match the state's wording; the review shows how much matches.
  • An item doesn't apply to this claim: choose Doesn't apply and say why. It's saved with your name in the review.
  • Your company or the carrier uses its own wording: a supervisor or administrator adds it under Company and carrier letter rules: for one state, every state, or the carrier on the claim (the carrier name comes from the Notice of Loss). Everyone's review then checks it on every claim for that carrier, and Insert uses it.
  • Keep a record: Save review puts it in the claim file and History; ⬇ Review report downloads a PDF.
  • The state rules were researched on October 16, 2026. The review is a checklist, not legal advice. Have your compliance team or counsel confirm what each state requires.
