Letter review (state rules) (Desk)

Claimsfy Desk

On the Letters tab, ⚖ Letter review sits under the letter and checks it as you type, against the claim letter rules of the state where the loss is and the basics every claim letter needs.

  • State and letter type: the state comes from the loss address (change it if you need to). Review as follows the letter: settlement or payment, partial denial, denial, reservation of rights, acknowledgment, status or delay, or request for information.
  • The basics: the letter date, claim and policy numbers, insured, date of loss and how to reach you; blanks and [instructions] still in the letter; for denials, the policy language relied on, the facts behind the decision and a clear statement of it; the amount on a payment.
  • The state's rules: the Department of Insurance notice, word for word where the state sets the wording (for example Illinois, New York, New Hampshire and Connecticut) and with the Department's address and phone where the state requires them (for example California and West Virginia); what a denial must say; notices for the type of letter (for example Florida's mediation notice and its capital-letter statements for partial estimates and payments that aren't final, the Texas extension notice, or New York's time limit to sue); "final" or "release" wording on payments; and the deadlines to acknowledge, decide, send status letters and pay, counted from the date reported or the proof of loss date you enter.
  • Results come grouped as Must fix, Check, Good to know and OK, each with its citation. Insert puts the required wording into the letter, above the signature. ✓ Confirmed records that you checked an item, and Doesn't apply asks why. Both are saved with your name.
  • Review with Claimsfy AI reads the letter against the same rules. It also looks for misstated policy language, a decision that doesn't match the coverage position, unclear reasons, figures that don't add up and wording that could discourage the claimant. Fix with Revise puts its suggested fix in the Revise box.
  • Save review keeps the result in the claim file and History. ⬇ Review report downloads it as a PDF. Paste or upload a letter reviews a letter written somewhere else.
  • Your company's letter rules: supervisors and administrators add wording your company requires, by state or for every state, and your own Department notice wording. Everyone's review checks them.
  • Approvals: the Approval & mailing panel shows the latest saved review, so the supervisor sees it when approving the letter.
  • The state rules cover all 50 states and DC and were researched on October 16, 2026 from each state's statutes and regulations. Each state's rules and sources lists the laws with links, how confident the research is, and anything that couldn't be confirmed. Rules change, and the review is a checklist, not legal advice. Have your compliance team or counsel confirm what each state requires.
