Dispatch, the vendor portal and the Inspection tab (TPA)

Claimsfy TPA

Each claim has a Dispatch tab and an Inspection tab, right after Notice of Loss.

Dispatch sends the claim to any firm you choose:

  • Kinds of assignment: Field inspection (adjusting firm), Engineer, Mitigation, Mold remediation, Lightning strike specialist, Contents specialist, Appraiser, Building consultant, or Other expert.
  • Send an assignment: choose the kind, the firm, the priority (Standard, Rush or Emergency), the due date and instructions. The firm gets the claim #, insured, phone, email, loss location, date and cause of loss, and optionally the loss description and policy #. Firms with that specialty are listed first.
  • Firms & experts is your team's directory of firms, with each firm's estimate network address and other system ID. Anyone can add a firm (also straight from the firm list with + Add a new firm); whoever added it, or a supervisor, can change it or turn it off.
  • Recall takes an assignment back. The firm is told and it disappears from their portal.
  • Your own field adjusters work in Claimsfy Field: add your field team as a firm, or give them the send-back link.

The vendor portal: every firm and expert can work their assignments directly in Claimsfy at your Claimsfy address.

  • A supervisor or administrator adds portal sign-ins for a firm in Firms & experts (name and email). Claimsfy emails the sign-in details, or shows them to send yourself when email isn't set up. They choose their own password the first time. Supervisors can reset a password or turn a sign-in off.
  • In the portal a firm sees only the assignments sent to them, nothing else in Claimsfy. They accept or decline, update the status, log their contact with the insured, upload photos, sketches, estimates, reports and invoices (up to 20 files, 30 MB each), and message the examiner.
  • Firms without a sign-in still get each assignment by email, with its send-back link.
  • Send-back link: every assignment has one (🔗 Send-back link on its card, also in the firm's email and portal). Anyone with it can send the inspection back with no account, from any software: an estimate as an ESX file or a PDF or Excel export, a report PDF, photos or a ZIP of photos, Word files, or a Claimsfy inspection package. They can mark the assignment Inspection completed or Report submitted and leave a note. Files are sorted by kind on their own. Recalling the assignment closes the link.
  • From Claimsfy Field (your own or another company's), the field adjuster chooses 📦 Send inspection back on the Inspection tab and pastes the send-back link. The package arrives on the Inspection tab with ⬇ Import into this claim: the photos with their labels, the sketch, the estimate, the narrative and the field notes go into the claim. Anything this claim already has (a sketch, a narrative) is kept, and the incoming narrative is saved to Documents. The field adjuster's invoices in the package (PDF) are saved to Documents as Receipts / invoices.

Inspection is where the field work comes back:

  • Status: each assignment shows its steps (Sent, Accepted, Insured contacted, Scheduled, Completed, Report submitted, Reviewed) with dates. The firm updates them from the portal, and the examiner can enter the status by hand with a date, time and note (for example, after a phone call). Track an inspection by hand covers inspections done outside the portal.
  • Communication: one timeline of messages between the examiner and the firm, the field adjuster's and the examiner's contact with the insured (call, voicemail, text, email, in person), messages with the insured, status changes and uploads. Filter by With the firm, With the insured or Status & files, and copy any entry into the claim notes with Add to notes.
  • Message the insured: the insured gets an email with a secure link to read and reply (no account needed). When email isn't set up, or there's no email on the Notice of Loss, Claimsfy gives you the link to text them. The insured sees only their own messages, never the examiner's talk with the firm. Replies show on the Inspection tab and in the firm's portal.
  • Field work: Photos, Sketch, Estimate and Narrative are no longer separate tabs. They're sections of Inspection (Overview, Photos, Sketch, Estimate, Narrative; Vehicle for auto), with a summary of what the field adjuster has sent. Files from firms are listed by kind with Download, Add to photos and Add to documents.
  • Narrative: the report box is set in Times New Roman, with the same formatting bar as Claimsfy Letters and Claimsfy Field: font, size, bold, italic, underline, strikethrough, text color, highlight, alignment, bulleted and numbered lists, indent and line spacing. Select the words first, or pick a setting and start typing; all-capitals section headings start out bold. Highlighter: click ab, then drag over the words to highlight them (click it again or press Esc to stop); ▾ picks the color, and No highlight takes it off. The formatting is saved with the claim and goes into the narrative's PDF, Word (.docx) and .doc downloads, the narrative in ⬇ Complete claim file (.zip), and Copy. Write narrative, Revise, ↶ Undo, 🔊 Read aloud and the reviews work as before, on the report's plain text, and lines that Revise or Write don't change keep their formatting. 📌 Freeze at the end of the bar keeps it on screen while you scroll a long report.
  • Other estimating systems: the Overview has a panel to match the claim to the other systems (the carrier's assignment #, an estimate network address, the estimate project name and the other system's claim #; they go out with the assignment and show in the vendor portal). Bring it in: an estimate exported from any estimating program as PDF, Excel or CSV goes into this claim's estimate (added to yours, or replacing it); a photo report PDF goes to Photos; an ESX file goes to Documents to open in the program that made it. Estimates and ZIPs that firms upload have Import into estimate and Add photos from ZIP. Send it out: the estimate entry sheet, an estimate CSV for any spreadsheet, and Copy status summary (each step with its date, ready to paste into the assignment's notes). A direct connection to another company's system needs a partner agreement with that company; until then, these files and reference numbers keep the systems matched.
  • When an inspection is completed or the report comes in, Mark reviewed records that the examiner reviewed it and tells the firm.
