Activities and pending actions (Desk)

Claimsfy Desk

Each claim has an Activities tab, the work plan for the file, like the work plan in a carrier claim system.

  • Every assignment starts with four required tasks for the desk adjuster on the file: Initial file review, Initial contact, Prior claims review and Coverage review. They follow whoever is the desk adjuster, so reassigning the claim moves them too. On older claims, work that's already done is marked done (for example, when an initial contact note is already on file).
  • Pending actions are listed at the top of the Notes and Activities tabs, for everyone who opens the file, with each one's priority, who has it and when it's due. They're what must be finished before the file can close. Starting the closing note while any are open shows a reminder.
  • Desk adjusters add their own activities. Supervisors assign activities on any file, to the desk adjuster or anyone else. If that person isn't on the claim yet, the supervisor can give them access in the same step.
  • Activity types include Initial file review, Initial contact, Prior claims review, Weather report, Aerial imagery history, Inspection review, Coverage review, Reserve review, Estimate review, Supplement review, Request documents, Issue payment, Send letter (Settlement, Partial denial, Denial, Reservation of rights, No contact, Request for information), Follow up with insured, Supervisor review and Close file.
  • Priority is Urgent, High, Normal or Low. Each activity has a due date and an optional escalation date. Supervisors can mark an activity as required, so it can't be skipped.
  • One click to the work: each activity's button opens the right place, such as the initial contact note, the prior claims report, Policy & Coverage, Payments or the right letter. When the work is already on file (a matching note, the coverage position or the letter), the activity offers Mark complete.
  • Complete, skip, reassign or cancel, with a completion note that can also go into the claim notes, and a history of who did what.
  • My activities on the Queue lists everything assigned to you across all your claims, overdue first. Supervisors can switch to Team to see every adjuster's activities.
  • Notifications: the person gets a notification when an activity is assigned to them and a reminder on the due date. The person who assigned it hears when it's completed or skipped. If the claim has a supervisor, they're notified on the escalation date.
  • When an activity opens a letter, the Letter menu on the Letters tab switches to it.
