Billing (Field)

Claimsfy Field

The Billing tab (after Reports) is for your own bill on each claim, on a fee schedule or on time and expense.

  • Bill to: the company or client that pays you, with their billing email, address, your file number with them and the terms. A client you've billed before fills in their email, terms and fee schedule.
  • Fee schedule – graduated: the fee comes from the loss amount: the estimate total (RCV), the net claim, or an amount you enter. The band, any percentage over it, a minimum and a cap are applied, and the tab shows which band the fee came from.
  • Fee schedule – flat: a fee per assignment type (desk review, inspection only, inspection and estimate, auto appraisal, ladder assist…) or a daily rate times the days, as on a catastrophe deployment.
  • Time & expense: add time by activity (field inspection, travel, file review, estimate and report writing, phone, recorded statement, reinspection, administrative), or tap ⏱ Start timer on site and Stop and add. Hours are rounded up to the schedule's step (0.1 hour, for example) and priced at that activity's rate.
  • Expenses: mileage and photos at the schedule's rate after the free miles or photos per claim (free miles carry across trips), and tolls, parking, airfare, lodging, meals, rental car, aerial reports, ladder assist, postage and anything else at cost. Attach a receipt photo and it goes into Documents. 📷 Add photos counts the claim's photos for you.
  • Extra fees: reinspection, supplement review, closed without payment, cancelled after contact, or your own, ticked for the next invoice.
  • Invoices: Next invoice shows everything not billed yet; Create invoice numbers it (INV-1001, then INV-1002…) with the date, due date and your billing information. Each invoice downloads as a PDF, Save to Documents files it with the claim, and ✉ Send shares the PDF (on a phone) or downloads it and opens an email to the client. Mark it sent, record payments (it shows Paid, Partly paid or Overdue), or void it, which puts its time and expenses back as unbilled.
  • Supplements: when the loss amount goes up after an invoice, the next invoice bills only the difference in the fee.
  • All claims: what's not billed yet, the open balance, what's overdue and what's been paid this year, with every claim's invoices, a filter and ⬇ Billing log (CSV) for your bookkeeping.
  • Fee schedules & setup: your billing information (name, company, address, license number, tax ID if you want it shown, payment instructions), the invoice number and terms, your fee schedules (start from a template – graduated by gross loss, flat by assignment, time & expense for property or casualty, catastrophe daily rate – and put in your contract rates) and your clients.
  • Where it's kept: the setup stays on this device; ⬇ Export setup and ⬆ Import setup move it to your phone or another computer. Each claim keeps a copy of its fee schedule, and its time, expenses and invoices go with the claim.
  • 📦 Send inspection back includes the claim's invoices as PDFs, and a Claimsfy desk that imports the package files them in the claim's Documents.
